Specialised AI agents, AI orchestration and a central AI Assistant empower customers to further enhance indirect procurement execution — natively inside SAP ERP environments

Indirect procurement generates a disproportionate share of manual effort in large enterprises. Requirements arrive unstructured, supplier quotations come as PDFs or emails, categories need to be classified, compliance rules need to be checked, and requesters often navigate multiple systems without knowing the right procurement route. These are precisely the scenarios where BeNeering’s AI engine now intervenes. It does not operate as a chatbot alongside the procurement system, but as an orchestrated intelligence layer within it.
One entry point — the AI Assistant
The AI Assistant forms the central entry point to all AI-powered capabilities of the platform. It allows users to interact in natural language and perform tasks such as finding items, processing quotations, retrieving documents, or identifying compliant suppliers, without needing to know system logic or process paths. Behind the AI Assistant, an orchestration layer routes each request to the appropriate data source, platform function, or specialised agent.
Specialised agents for specific procurement scenarios
The platform’s AI architecture is built around a portfolio of specialised agents that can be activated individually or in combination, modularly configured to each customer’s data maturity, authorisation model, and process requirements:
- Intake agents: structure unclear requirements, enrich them with SAP data, and route them into compliant procurement processes
- Quotation processing agents: read and extract structured data from supplier PDFs and emails, reducing manual transcription entirely
- Material group agents: classify requirements based on historical SAP transaction data and customer-specific procurement logic
- Catalogue and content agents: identify suitable items across all connected buying channels in a single search
- Knowledge and policy agents: answer questions about internal procurement routes, policies, and compliance rules
- Status and document agents: provide real-time visibility into order, document, and process status directly from SAP
- Order confirmation agents: process incoming supplier confirmations and support downstream review workflows
Live SAP data as the foundation
Through the BeNeering Cloud Adapter, a certified SAP add-on installed directly on the customer’s SAP system, the AI engine accesses live ERP data in real time, including order or invoice history, supplier records, G/L accounts, cost centre budgets, material groups, and compliance rules. As a result, the AI capabilities do not rely on snapshots, replicated data or delayed synchronisation. Supplier recommendations and compliance checks are therefore based on the customer’s current SAP data. This enables AI-driven recommendations that reflect current system data and the requirements of enterprise-grade procurement.
Open architecture, data sovereignty
BeNeering’s AI architecture is designed to support openness while maintaining governance. MCP-based services will make BeNeering’s procurement agents addressable from external environments, including company-owned copilots, Microsoft Teams, and collaboration tools. This allows procurement intelligence to be embedded directly into the environments where employees already work. Customers retain full control: they define which data sources are connected, which agents are activated, and which compliance rules apply. GDPR and EU AI Act requirements are embedded in the platform architecture, ensuring data sovereignty, governance and human control.

Built on the SAP Business Technology Platform (SAP BTP), the BeNeering Controller for SAP BTP serves as a central management hub for cross-system procurement operations between BeNeering Digital Procurement Platform and the customer’s SAP S/4HANA® Cloud system. The goal is to help reduce operational efforts, centrally manage process control, configurations and rules across systems, and monitor interface operations without requiring any changes to the SAP S/4HANA Cloud core.
In current business and economic environment, achieving optimal TCO of digital landscape is a primary objective in any SAP S/4HANA® Cloud transformation program. Acting as a central management hub built on SAP BTP, BeNeering Controller for SAP BTP connects the BeNeering Digital Procurement Platform with SAP environments. Central management across multiple SAP systems
BeNeering Digital Procurement Platform is aligned with SAP best practices, helping companies migrate their on-premise SAP system landscapes to SAP S/4HANA® Cloud (Private Edition or Public Edition) and leverage SAP BTP as the central platform for integration and extensions. The real-time data exchange between BeNeering Procurement Digital Platform and SAP S/4HANA® Cloud is provided by the SAP-certified ABAP-based BeNeering Cloud Adapter. BeNeering Cloud Adapter is installed as an Add-On on each SAP instance of the customer, while the BeNeering Controller for SAP BTP runs on central SAP BTP instance. Following SAP’s Clean Core strategy, BeNeering Controller for SAP BTP allows to centralize control and management functions for operational procurement and sourcing processes across systems.
BeNeering Controller for SAP BTP provides a central connection layer for customer-specific procurement configurations, enhancements, and workflow functions that can be maintained in one place, simplifying cross-system changes and rollouts. At the same time, BeNeering Controller for SAP BTP helps reduce repetitive configurations because process control, customizing, and procurement logic can be implemented consistently. Procurement rules, role and authorization concepts, as well as approval workflows can be rolled out uniformly across SAP landscape. Companies can choose whether to manage procurement logic directly in SAP S/4HANA® Cloud or centrally at Controller level.
Moreover, BeNeering Controller for SAP BTP centralises user and authorization information. Roles, access rights and company codes are sourced from SAP systems or an identity provider, and used consistently across procurement processes. Companies also retain control over certificate updates and interface monitoring, increasing independence from the solution provider.
Clean Core strategy and integration of business partners
BeNeering Controller for SAP BTP supports SAP’s Clean Core strategy by enabling enhancements and cross-system adaptations that can be implemented on SAP BTP rather than in the SAP core system – and reused across new system landscapes. This facilitates further developments and enhancements in line with the SAP roadmap and also simplifies migrations and architecture changes.
In addition, business partners and suppliers can be granted controlled access to relevant SAP S/4HANA® Cloud data, allowing them – subject to process requirements and authorization – to participate in events such as sourcing, supplier management, service procurement, and contract and catalog management.
